Main purpose
The Secretary will report to the Director of the WMU-Sasakawa Global Ocean Institute. He/she will provide administrative and secretarial support to the Institute.
Duties, responsibilities
The incumbent will in particular provide the following support services:
Administrative Processes
? Assist the GOI Director and Head of Research the Ocean Governance Programme and Project implementation, including the teaching and doctoral supervision scheduling

The Project Support Assistant position falls within the Research Unit at WMU’s headquarters in Malmö, Sweden.
Main purpose
We seek a Project Support Assistant to support day-to-day activities related to an inter-agency capacity-building and development project to progress the implementation of international instruments to combat illegal, unreported and unregulated (IUU) fishing (CAPFISH). The CAPFISH Project is creating an education and capacity building platform that consolidates the expertise of the UN specialized agencies mandated to address fisheries sustainability, working conditions, and safety on board fishing vessels, as well as academic research and practical knowledge. CAPFISH is a transdisciplinary initiative that integrates science, economics, maritime policy and ocean governance, law and regulation, maritime technology and operation, safety at sea, societal factors, human rights, as well as compliance monitoring and enforcement. The Project received initial funding for 1 year in 2021 to formalize the inter-agency partnership and undertake the research and development required to design the course. This funding has been renewed for a second year and the Project now requires day-to-day administrative support.
Duties, responsibilities
The post-holder is expected to provide technical and administrative support for the CAPFISH Project. This includes a wide range of operational, administrative and secretarial support to the Project coordinators, Project Research Associate, and the external partners (UN Agencies, The Pew Charitable Trusts etc.). Much of this will be online, but depending on pandemic circumstances may also involve physical meetings. The travel management activities may resume anytime. The successful candidate will support activities as required such as:
Assist and provide administrative support to the Project team;
Provide secretarial support to the Project team, including office management tasks and scheduling of meetings;
Provide secretarial support at meetings, seminars and conferences;
Maintain the office in good order;
Perform receptionist duties when needed;
Support event organization including logistical tasks;
Assist the Project team with the production of communication material (brochures, documents and reports);
Prepare and draft correspondence, memos and documents;
Arrange travel, including accommodation as may be required, and provide assistance to visitors and guests;
Manage the Project website and social media accounts;
Provide technical assistance for workshops and courses (Zoom Webinar or similar platform, recording and editing of videos);

Finance and Procurement support
Support the Project team with financial and procurement processes: adapting templates, preparing spreadsheets, for verification, drafting debit notes, requesting commitments, Project-related budget forecasts, and prepare small budgets (e.g., for events or communication activities).

Provide financial data for annual reports;
Track and reconcile Project finances in accordance with budget and projected spending.

Specific duties for the E-learning Assistant include the functions indicated below:
Provide technical expertise in developing e-learning activities and resources, including e-lessons, based on distance-learning and blended-learning educational approaches;
Maintain and administer the University’s e-learning infrastructure and Learning Management Systems (LMS) and their related functions, including technical liaison with hosting and maintenance service provider;
Provide technical support in the front-page development of the LMS;
Collect, compile, filter label the data from the e-learning programs and LMS for analysis and reporting;
Provide technical and operational assistance to the animation development of e-learning programs;
Film, and pre- and post-produce recorded and streamed lectures;
Operate, configure, and develop e-learning studio, including filming, audio, lightning equipment, and post-production software;
Provide general administrative and logistic support to relevant faculty and staff with the operational planning, development and implementation of e-learning (distance-learning and blended-learning) programs; including bundling of learning activities and resources, developing scripts for lectures, and testing of produced materials;
Provide operational support to the China-based MSc. programs and liaise with local offices;
Assist relevant managers, committees and other staff and university-assigned external partners to ensure that the e-learning framework is capable of meeting the goals set forth by the University;
Keep records of e-learning exams and assignments for External Examiners;

2. Main purpose
We seek a Project Support Assistant to support day-to-day activities related to an inter-agency capacity-building and development project to progress the implementation of international instruments to combat IUU fishing (ICAPFISH). The ICAPFISH Project will create an education and capacity building platform that consolidates the expertise of the UN specialized agencies mandated with a role in fisheries as well as academic research and practical knowledge. ICAPFISH will be a transdisciplinary initiative that integrates science, economics, maritime policy and ocean governance, law and regulation, maritime technology and operation, safety at sea, societal factors, human rights, as well as compliance monitoring and enforcement. The project has received an initial funding for 1 year to formalize the inter-agency partnership and undertake the research and development required to design the course. The project will require day-to-day administrative support.
3. Working relationships
Internal contacts – the incumbent will liaise and interact with the faculty members engaged in this research project on a regular basis as well as with the Research Associate that is working for this project. External contacts – the incumbent will need to liaise with UN Specialized Agencies, other international partners and stakeholders, as well as other experts.2 The successful applicant is required to take up duty at WMU in Malmö, Sweden, for the duration of the project and to travel to attend project meetings.

The post-holder is expected to provide technical and administrative support for an inter-agency capacity-building and development project to progress the implementation of international instruments to combat IUU fishing (the ICAPFISH Project). WMU has housing facilities for its students - The Henrik Smith Residence (HSR), with 223 rooms. The position of the HSR Supervisor falls within the Administration Unit at WMU’s headquarters in Malmö, Sweden. The incumbent will perform his/her duties at the HSR Residence.


2. Main purpose
The incumbent reports to the Head of Finance and Administrative Services and ensures an effective and efficient management of the HSR. The incumbent ensures a safe, secure and organized community for WMU students and other residents. The incumbent is responsible for the safety, security and maintenance of HSR.


3. Working Relationships
Internal contacts – Incumbent liaises and reports to WMU Administration on a regular basis as well with respect to Academic Services, Student Services, HR and IT staff as required. External contacts – Incumbent liaises with the City of Malmö, vendors and suppliers, external customers, Visiting Professors/guests of WMU including newly arrived members of Staff.


4. Duties, responsibilities
The incumbent will in particular provide the following support services:
• Oversee the daily running of the HSR, including rooms, common areas, equipment, services and security of the premises;
• Oversee the provision of housing to WMU students and visitors ensuring that all rooms are assigned and ready for occupancy in a timely manner;
• Assist and orient students, residents and visitors which includes on-boarding support and the communication of applicable WMU policies and procedures;
• Provide safe, clean and organized premises by reviewing the safety patrol reports and educating all residents of HSR on the security policies as well as overseeing the housekeeping services to ensure cleanliness;
• Participate in the planning and execution of any WMU policies, events or projects that involve housing at HSR and which may require the procurement and ordering of services and provisions needed;
• Maintain responsive customer service operations, holding regular office hours with an open door policy for students and other residents;
• Undertake any other administrative tasks as may be required or assigned by the supervisor.
