The Role
Working as part of the European immigration team, you are meticulous and organised in your work with a proactive and solution-based approach to every component of our client’s immigration needs.


As a member of the team, you will collaborate globally between our hubs and partner network in the delivery of our services. In your role and areas of responsibility you demonstrate commercial awareness and work in line and towards K2’s vision and goals of service excellence.


The role will share the ownership and accountability of assigned client accounts with the appointed account manager in areas of compliance and advisory.
You will liaise closely with the K2 mobility teams, proactively planning and managing international relocations in a fast-paced environment.

Hours of work
Monday to Friday 8.00 am – 5.00 pm. Hybrid working applies after successful completion of probation, two days based in our office as needed to perform the role and build relationships which is an integral part of the K2 culture within the business.


Main Duties and Responsibilities

Initiate, manage and execute (when applicable) all immigration services.
This includes, but is not limited to, the following:


Work & Residence permit coordination globally
Local registrations
Consular Document Services
Consular Visa Services
Provide clear, consistent and concise information to the HR/Assignee and propose best options for their situation ensuring legal compliance is maintained.
Assume responsibility and accountability ensuring all services are delivered in a timely manner and in compliance with company policies and guidelines.
Conduct extensive case and regulation-based research where necessary
Maintain up to date knowledge in all locations you are actively working on
Coordinate suppliers and vendors involved in service delivery and provide
Ensure all files are set up in accordance to K2 policy and our internal operation systems are completed accurately and promptly where all information is recorded in a timely manner.
Aim at all times for high service delivery, at every client touch point, generating enthusiastically satisfied clients.


Required Skills
Desired: 1 to 2 years’ experience with managing immigration casework
Knowledge and experience of legal research
Strong attention to detail and accuracy with data management.
Excellent written and verbal communication skills.
Proficient in English
Consultative and pro-active approach.
Ability to work independently as well as being a team player.

Support the processing of supplier invoices within the new AP portal (reviewing costs, payment terms and tax implications)
Prepare weekly/monthly payment runs
Update the AP ledger with all supplier payments and issue remittances
Research and resolve invoice discrepancies and issues

Responsibilities
Client Services:
Manage and mentor a team of consultants to consistently achieve high service levels, streamlined service delivery and an ongoing positive approach.


Initiate and set up all programmes and services to be delivered.

o Destination Services (Orientation, Home search, Temp Housing, Settling In)

Provide administrative support to assignee for relocation services not supported by location consultants or vendors. This includes but is not limited to:
o Temporary accommodation bookings

o Tenancy maintenance requests


Assume responsibility and accountability ensuring all services are delivered in a timely manner and in compliance with company policies and guidelines. Close follow up until full case completion and support K2 global teams is essential to productive team work.


ü Assign and coordinate suppliers and vendors involved in service delivery (Movers, insurance agents, car leasing, relocation consultants, realtors, immigration provider, pet moves, handyman, maid services, and transportation of vehicles) and collate feedback from surveys and internal team for their services reviews.


Approve all invoices pertaining to your assignee moves and manage supplier cost where possible for areas of improvement.


Track expiry dates on a monthly basis.


Ensure all files are set up in accordance to K2 policy and ASCENT is completed accurately and promptly so all information is recorded in a timely manner.


Aim at all times for high service delivery, at every client touch point, generating enthusiastically satisfied clients.


Account responsibilities:
Support the account manager in areas pertaining to implementation when on boarding new accounts.


Support appointed client account manager with agreed client reports and tracking and where applicable attend client relationship meetings.


Provide feedback for annual review meetings.


Build spend summaries and send to client services for account approval


Provide regular client updates to client and management.


Maintain a positive and motivated team, striving for service excellence and leading by example.


Actively work towards meeting K2 business targets.
